Pursuant to EU Regulation No. 2016/679 (GDPR), and Legislative decree No. 196 of June 30, 2003 as amended, and in general in compliance with the principle of transparency provided for by the above Regulation, with this document we provide the rules we apply for management of personal data in order to allow Users to browse the pages on the Project PROMETEO website and to use any of its services and the way data are collected, shared and protected.
Data automatically processed and the purpose of the processing
When Users browse the website, read its pages, and download the information contained in it, the website acquires some navigation data, whose transmission is implicit in internet communication protocols. In addition to this, a third-party website will automatically collect and store certain information relating to the visit.
This category includes user IP addresses, type of browser used, access website addresses, pages visited within the site, access time, the code indicating the response status given by the server and other parameters relating to the operating system and the
User’s IT environment. This data, needed to use web services, is not collected to be associated with identified data subjects but is used to make the site more useful for its visitors, to obtain aggregated and anonymous statistical information on the use of the site and to check its proper operation. This data could be used to determine responsibility in the event of cybercrime or actions damaging the site.
No information on Users/visitors will be sold, shared or used for commercial purposes.
Cookies
A cookie is a small piece of text that websites send to the browser and is stored on the User’s terminal, which may be a personal computer, a mobile phone, a tablet, etc. These files allow the website to track, personalize, and save information about each User’s session, such as language and preferred options, which can make his/her next visit easier and make the site more useful for him/her. A “session” just refers to the time you spend on a site. Cookies play a very important role in improving user experiences on the web.

_gat, 1 day, analytics session cookie that allows data to be read for statistical purposes. The cookie is valid only for the duration of the session, it is deleted when the browser is closed out, and its purpose is to monitor the amount of requests per page/s.
_gid, 1 day, persistent analytics cookies that allow data to be read for statistical purposes. Their function is to recognize users. The data is analyzed anonymously and relates solely to the use of the website (pages visited, bounce rate, etc.).
Analytical cookies
The PROMETEO project website used Piwik Pro and since 2026 MATOMO to track User visits in an aggregate and anonymous fashion. The analytical cookie information helps us understand how visitors use the site, allowing us to improve the way we present content. The only cookies used in this website are those mentioned above, namely ga, gat and gid cookies.
Third-party profiling cookies
Some external services such as Google Fonts, Google Maps, YouTube may use their own cookies for the purpose of User profiling. These cookies are installed by third parties (Google) and not by PROMETEO project and their installation requires the consent of the User, in the absence of which they will not be installed.
We therefore report below the links to the privacy policy of Google which refers to the main external services.
The User will be able to deepen and customize their browser settings in relation to the services and customization options offered by Google.

How to manage cookies in the browser

Data Processing Method
Personal data is mainly processed digitally and in a lawful, fair, relevant manner, limited to what is necessary to achieve the purposes of the processing, for the time strictly necessary to achieve the purposes of the project and in any case in compliance with the principles set forth in art. 5 of the GDPR.
In order to prevent data loss, abuse or incorrect use of data and unauthorised access, specific security measures have been implemented.
There is no automated decision-making process, nor any profiling activity.
Be always aware that personal data can be scraped by so-called web scrapers or web crawlers. Although FBK took certain technical and procedural measures to mitigate the risk of web scraping, we cannot 100% guarantee that web scraping will not take place.
Place of Data Processing and Disclosure of Personal Data
Personal data and contacts are mainly processed in the offices of the Data Controllers and are processed by the staff involved in the project only.
Personal data may be processed by service providers located within the European Union or in countries for which the European Commission has made a decision on their compliance with personal data protection regulations or, alternatively, through the signing with the providers of Standard Contractual Clauses (SCC) of data protection adopted by the European Commission.
Personal data shall not be disclosed.
For the only purposes of scientific dissemination of statistical and/or scientific results (for example through the publication of scientific articles and/or the creation of databases, even including open access methods, participation in conferences, etc.), anonymous and aggregated data may be disseminated in a manner that will not allow for the identification of the interested party.
Duration of Data Retention
Data will be kept for 5 years after the end of the project (foreseen in 31.08.2026) with gradual deletion of the data attributable to the specific purposes that are no longer pursued.
Rights of Data Dubjects
Users (Data Subjects) have the right to contact the Data Controller at any time to exercise
the rights referred to Chapter III of the GDPR and, in particular for:
- request confirmation as to whether or not their personal data is available;
- obtain information on the purposes of the processing, the categories of personal data, the recipients or categories of recipients to whom the personal data has been or will be communicated and, where possible, the storage period;
- request rectification and deletion of personal data;
- obtain the limitation of the processing;
- object the processing at any time.
The Data Subjects have the right to revoke consent at any time without prejudice to the lawfulness of the data processing based on consent granted before said revocation.

Information on personal data processing on the PROMETEO website
PURPOSE
Your personal data is processed within the scope of the PROMETEO Project and for the following purposes:
- complete the registration procedure to the events and activities organized among the PROMETEO Project;
- allow the documentation of the event/activity for research, networking, communication and dissemination purposes, including, but not limited to, the following categories and/or similar categories: presentations, reporting documents, creation of informative material, communication activities on institutional channels and/or through local, national and international press and through websites and social networks;
- facilitate the transcription of the interviews;
- mailing of institutional informative material;
- archiving, scientific research purposes and statistical purposes.
LEGAL BASIS FOR DATA PROCESSING
Given that all the purposes of the processing are attributable to the carrying out of the Project, although there is no obligation to provide data, failure to provide it will make it impossible for the Data Subject to join the Project. Therefore, the decision to participate in any activity or event organized among the PROMETEO Project takes place on a voluntary basis, with the consent of Data Subject and with the right to not join or to opt-out at any time.
TYPE OF DATA PROCESSED
The following data categories may be processed for the Projects management purposes:
- Personal particulars (name, surname, email address)
- Data revealing the person’s image and voice (recordings);
- Data concerning any allergy, illness, and/or dietary needs or restrictions.
- Social media posts including the language, textual content, hashtags, images/video’s, whether the post is a reply to another post, the number of likes etc.
- Social media account information, including the username, description, location, the number of friends/followers/favorites
- Social media account interactions, including user mentions
- Images linked to articles, posts etc. found on the surface web
- In accordance with the data minimization principle, only the personal data that are deemed necessary for the project’s objectives will be processed (see section “Processing method”).
PROCESSING METHOD
Your personal data shall be processed aiming aim to minimize the amount of personal data collected through the different activities:
- manually and through manual and/or automated means;
- through online/paper questionnaires, online/phone interviews, workshops, focus groups;
- by individuals authorized to perform such tasks;
- by using proper measures to ensure confidentiality and avoid access by non-authorized third parties;
- in an anonymized or pseudonymized form;
- in contexts that do not compromise the personal dignity and the decorum of the Data Subjects, ensuring the necessary precautions to guarantee the confidentiality of the use.
- No automated decision-making process, nor any profiling activity is planned.
PROCESSING RETENTION
The personal data collected shall be retained for no longer than is necessary for fulfilling the obligations and tasks referred to in point 1, and in any case within 5 years of reporting on the Project and only to pursue the specific purposes indicated therein, with gradual cancellation of data related to specific purposes once they are no longer pursued.
Once the retention period expires, personal data shall be anonymized and deleted.
DATA SHARING
Without prejudice to communications required to fulfil legal and contractual obligations, all data collected and processed may be shared to:
- Registration system;
- Project Partners;
- Project auditors;
- Stakeholders;
- Venue managers;
- Police, security services (in case of very big events requiring special consideration by the police officers);
- Companies offering proceedings and paper submission collection and management;
Personal data shall not be disseminated, besides those processed to document the event/activity organized among the PROMETEO Project.
For exclusive of scientific dissemination of statistical and/or scientific results (for example through the publication of scientific articles and/or the creation of databases, also with open access methods, participation in conferences, etc.), the data may be shared among the scientific community and disclosed anonymous and aggregate and always in a way that does not make the interested party identifiable.
PLACE OF DATA PROCESSING
The activity of processing personal data takes place on the territory of the European Union. Should the activity include personal data processing outside the European Union, in the absence of an adequacy decision from the European Commission, we will undertake additional measures in order to guarantee a level of protection equivalent to the one offered in the European Union. We will respect the provisions set out by the applicable legislation on personal data transfer towards third countries (chapter V of the GDPR), such as Standard Contractual Clauses provided by the European Commission.
As FBK is using Google and Microsoft, and data transfer outside the European Union is not excluded, we will make sure that such a data transfer will take place within the limits and the conditions set forth in chapter V of the GDPR
RIGHTS OF THE PERSON CONCERNED
Pursuant to Section III of the GDPR, you shall be entitled to exercise the following rights to:
- request access to your personal data and to obtain a copy therof;
- if the legal conditions exist, oppose the processing of your data, request their cancellation or exercise the right of limitation;
- withdraw at any time any consent given to the processing of personal data and such withdrawal will result in the end of processing;
- if you deem them inaccurate or incomplete, request their correction or integration respectively;
- ask for the portability of your personal data to another subject in such a format that they can be easily consulted and used;
- advance a dispute to the Supervisory Authority (Privacy Authority).
